You’re Losing Deals Because You’re Losing Links

The fastest way to organize your best stuff

Ok, this will save you a bunch of time.

People built some brilliant AI stuff —

but if you can’t find it when you need it, it’s basically worthless.

You’ve got:

• Custom GPTs that write listing descriptions in seconds

• ChatGPT threads where you built out your buyer questionnaire

• Full project links for listing marketeing, open house systems, or HomeBuyer workshops

But they’re scattered:

• In your DMs

• In some browser tab

• Lost in your Emails

So you rebuild the wheel — again.

Let’s fix that before it costs you another deal.

The Reality

Custom GPTs have really revolutionized things.

There are now GPTs that:

• Write listing ads for Instagram

• Break down buyer objections into Sales scripts

• Optimize your CRM follow-up

• Create drip campaigns for open house leads

But if you don’t save the exact link, you’ll never find them again.

They don’t show up in search. They aren’t stored in your history. No directory.

Same thing goes for:

• ChatGPT threads where you worked on SOPs

• Notion pages for client onboarding or VA task tracking

• Looms where you explained your offer or training

• Calendars, CRMs, and challenge pages you spent hours building

If it moves the needle, you need to be able to pull it up fast.

The Fix: Build a Real Estate AI Vault

No software to buy.

Just a system to store what drives production — and makes you look sharp with clients and partners.

Step 1: Pick the Right Vault System

Google Sheets (Quick and Easy)

If you like things fast, sortable, and shareable.

Use this structure:

Name - URL - Type - Use Case - Notes

Listing Ad Writer GPT - [Link] - Custom GPT - Social Ads - Plug in MLS # and go

Homebuyer Workshop Plan - [Link] - Notion - Project - Includes scripts and slides

VA Onboarding Thread - [Link] - GPT Thread - Training - Covers week 1 tasks

Want to save time? You can literally ask ChatGPT to format this into a CSV, then upload it into Google Sheets.

Notion (For the High-Level Operator)

Great if you're building systems — and want your VA, LOA, or marketing assistant to plug in, too.

Inside Notion, track:

• Custom GPTs by use (buyer, seller, lead gen, follow-up)

• Challenge outlines

• Event plans

• Team onboarding

• Outreach scripts

• Mortgage product explainers

Group by task type, stage of the deal, or client type.

Google Keep (If You’re Mobile-Heavy)

One card per GPT or link.

Color-code for social, buyer, seller, mortgage, etc.

Pin your essentials — like “Commission Objection Buster GPT.”

Step 2: Save Everything You Reuse

If it would save you an hour to find again — or close one more deal — save it.

Track these:

• Custom GPTs (with the direct link)

• ChatGPT threads where you refined a system or pitch

• Project links: Notion, Trello, ClickUp, or even Google Docs

• Looms or recordings of your buyer/seller walkthroughs

• Canva templates, calculators, or workshop funnels

You’re not just collecting links.

You’re building a high-leverage vault that lets you move fast and delegate faster.

Step 3: Let ChatGPT Build It for You

Use this prompt:

“I want to create a spreadsheet to track Custom GPTs, threads, and project links for my real estate business. Columns should be: Name, URL, Type, Use Case, Notes. I’ll start listing them now…”

Once done, just say:

“Export this as a CSV so I can upload it to Google Sheets.”

Or:

“Format this for Notion using Markdown.”

It builds the vault. You just copy and paste.

Final Thought

You don’t need another tool all the time. .

You need to stop losing the tools that help you close deals consistently..

This isn’t about organizing for the sake of organizing.

This is about speed. Clarity. Delegation.

This is about having your systems locked in so you don’t lose time (or clients) ever again.
